Getting started
Restaurants, cafés, caterers and food businesses that want to understand supplier price changes from invoices. Costlr is focused on supplier-cost intelligence, rather than a full inventory or accounting suite.
PDF, JPEG, PNG and WebP invoices up to 10 MB each. Bulk upload accepts up to 10 files, with each file treated as a separate invoice. Original digital PDFs and clear, complete photos work best.
Yes, when your workspace inbox shows that receiving is ready. The owner enables the inbox and chooses the shared address in Settings → Invoice inbox. A reserved address alone does not mean receiving is connected. When ready, forward up to five attachments, 10 MB each and 20 MB per email.
No. You upload files or forward selected emails to the workspace inbox. Costlr does not connect to or read your personal mailbox.
Review & price history
Uncertain amounts, totals, package units or product matches need confirmation against the original. Correct the flagged details and finish the invoice when they are reliable. Eligible repeat invoices can complete automatically when source, math and saved mappings pass validation.
Costlr normalizes confirmed package quantities into consistent units. A 5 kg case at $20 becomes $4/kg. Only equivalent products with compatible supplier, currency, unit and location records are compared.
The first purchase establishes history. A comparison needs a compatible purchase from a strictly earlier purchase date. Ambiguous same-day records or incompatible units remain unavailable rather than producing a guessed change.
Yes. Price history and Changes connect to the source invoice. Original files and review corrections preserve the context behind the recorded purchase.
Invoice-level fees, surcharges, discounts and credits are kept separately from product lines. Compatible, trusted adjustment records can be compared, while unknown or ambiguous amounts remain flagged or unavailable.
Plans & updates
Free includes one user, 10 successfully processed invoices per month, manual Changes and product price history. Configurable price alerts start on Starter.
An invoice counts once when it successfully finishes processing. Review drafts count when successfully finished. Duplicates, unsupported files, spam and hard failures do not consume successful-invoice usage.
No. Optional Needs review and Processed updates for new inbox invoices are available on all plans when delivery is ready. Starter adds configurable in-app price alerts; Growth and Business also include optional daily price digests with owner opt-in and enabled delivery.
Paid checkout and self-service subscription management are not yet available. Paid pricing is published plan information. Start Free or contact us about your invoice volume; payment, renewal, cancellation and refund terms must be agreed before a paid purchase.
Published annual prices include a 15% discount and show the equivalent monthly price and annual total. Invoice allowances reset each calendar month, even with annual billing.
Free, Starter and Growth are single-user plans. Business is designed for up to five users; Custom access is contracted. Team invitation availability remains a launch gate, so contact us before relying on collaborative access.
Privacy & help
No. Originals live in private storage. Invoice delivery requires an authenticated workspace access check and is short-lived. Optional digest product thumbnails use temporary protected links, separate from invoice originals.
OCR and AI help interpret invoice text and structure extracted fields. Deterministic checks handle arithmetic and validation. Uncertain results go to Review. The privacy notice describes the configured processing providers.
Self-service workspace deletion and a fully verified deletion workflow are not currently available. Closing an account must not be assumed to erase invoice data. Contact us to ask about a data request and its current status.
Read the invoice status and any recovery instructions, or use the Contact page. Include a short description and your account email. Do not send passwords, verification codes, bank details or full invoices in your initial message.
